DSC (Digital Signature Certificate)

An electronic signature used to sign forms filed with MCA, the income tax portal and GST.

In short

A Class 3 DSC is issued by licensed certifying authorities, usually for one to three years.

What it means

A Digital Signature Certificate (DSC) is the electronic equivalent of your handwritten signature. It is stored on a secure USB token. It proves that a document filed online was signed by you and was not changed afterwards. Under the Information Technology Act, 2000, a document signed with a valid DSC is legally recognised.

How it works

  • Type: Class 3 is now the standard for MCA filings, income tax, GST, e-tenders and similar uses. A signing DSC is used for filings. An encryption DSC is also needed for some e-tenders.

  • Issued by: certifying authorities licensed by the Controller of Certifying Authorities, through their authorised agents

  • Process: online application, PAN and Aadhaar based verification, and video or mobile verification. The certificate is then downloaded onto a USB token.

  • Validity: usually 1, 2 or 3 years. It must be renewed before it expires.

  • Registration: it must be registered separately on each portal: MCA (for directors and professionals), the income tax portal and the GST portal.

Where it is mandatory: MCA forms such as AOC-4, MGT-7 and DIR-3 KYC; GST returns and refunds for companies and LLPs; and income tax returns of companies and of taxpayers whose accounts are audited.

Example

Shah Packaging Private Limited has three directors. It needs DSCs for MCA filings, GST and the company’s tax audit return.

  • Suppose a vendor charges ₹1,500 per 2-year Class 3 DSC including the token. For three directors: 3 x ₹1,500 = ₹4,500.

  • Add 18% GST: ₹4,500 x 18% = ₹810

  • Total: ₹5,310, or about ₹2,655 a year for all three directors

Compare this with the cost of a missed deadline. If the DSC expires the week AOC-4 is due and filing slips by 20 days, the additional fee alone is 20 x ₹100 = ₹2,000.

Key points to remember

  • Track expiry dates and renew at least a month before deadlines like 30 September and 31 October.

  • Never share your token and PIN casually. Anything signed with it is legally treated as signed by you.

  • After renewal, register the new DSC again on MCA, income tax and GST, or filings will fail.

  • The name on the DSC must match PAN records exactly, or portals reject it.

  • Individuals filing their own ITR can usually e-verify with Aadhaar OTP instead of a DSC.
